Okowil Luxury Chauffeur is operated by Okowil Solutions Inc., a company based in Ottawa, Ontario. This policy explains what personal information we collect through this website and our chauffeur service, why we collect it, and the choices you have. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
Information we collect
- Booking details: your name, phone number, email address, pickup and drop-off addresses, trip date and time, number of passengers and any notes you add.
- Messages: your name, email address and the message you send through the contact page.
- Payment records: the amount paid and the date, when you pay for a trip. We do not store card numbers on this website.
- Technical information: your internet address is used briefly to limit repeated form submissions, and our hosting provider keeps standard server logs.
Why we collect it
- To respond to your request, confirm your booking and provide the trip.
- To keep a trip sheet for each trip, which the City of Ottawa Vehicle-for-Hire By-law requires us to keep for one year.
- To keep the accounting and tax records the law requires.
- To protect the website against misuse.
We collect only what we need for these purposes. We do not sell your personal information, and we do not use it for advertising.
Consent
By sending a booking request or a message, you consent to our use of your information for the purposes above. You can withdraw your consent at any time, subject to legal requirements, by contacting us. If you withdraw consent we may not be able to provide the service.
Who we share it with
- Service providers that host this website and deliver our email. Some of them may store information outside Canada, where it is subject to the laws of that country.
- City of Ottawa by-law officers or the police, when they ask to inspect trip sheets as the by-law allows.
- Other parties only when the law requires it, or with your consent.
How long we keep it
- Booking records and trip sheets: at least one year, as the by-law requires.
- Accounting and tax records: six years, as the Canada Revenue Agency requires.
- Messages: only as long as needed to answer you.
How we protect it
Booking requests are stored in a private area of the website that only the business owner can open. The website uses an encrypted connection, limits repeated login attempts and is kept up to date. No method of storage or transmission is completely secure, and we will tell you and the Privacy Commissioner of Canada about any breach that creates a real risk of significant harm, as the law requires.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or ask a question about how we handle it. We will reply within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
